Many victim services organizations don't have the staff to maintain a dedicated reception desk — or operate from offices where the front door is locked for safety reasons. LOBBY was designed for exactly those environments.
Capabilities
LOBBY runs on a tablet or kiosk at the entrance. When a client arrives, they check themselves in — who they are, who they're there to see, and why. The notification goes directly to the right person in AIDARO HUB. No one needs to be standing at the door. No overhead announcement. No phone call across the building.
For organizations where the front door is locked — whether for safety, after-hours access, or because the office doesn't have a traditional reception area — LOBBY gives clients a way to announce their arrival without the frustration of knocking and waiting. They check in, their worker is notified, and someone comes to the door informed about who's there and what they need.
Appointments are recorded in LOBBY in advance. When the client arrives and checks in, LOBBY recognizes the appointment and routes the notification to the right worker with the appointment context already included. Workers know who's there and why before they reach the door.
Walk-in and appointment notifications appear as slide-down panels in AIDARO HUB. The first staff member to acknowledge is recorded — in HUB and in LOBBY simultaneously, because they share the same database. One click. Both systems updated. No one needs to confirm in two places.
A client arriving for a specific worker notifies only that worker. A general walk-in notifies whoever is configured to respond. Supervisors manage the recipient list directly in AIDARO HUB — by individual, not by role. If someone is off for the day, it takes one setting change to route notifications appropriately.
Clients state their purpose at check-in. That context travels with the notification in HUB. The worker responding already knows whether they're walking into an initial intake, a document drop-off, a crisis situation, or a scheduled appointment — before they get to the door.
LOBBY shares the same database and user table as AIDARO HUB. There's no synchronization, no separate login, no user management in two places. Workers and volunteers exist once across the entire AIDARO suite. What happens in LOBBY is immediately visible in HUB because they're the same system.
